Dear Adult Education Administrators:

As you wrap up at the end of the calendar year and get ready for winter break, the Adult Education Office (AEO) wishes you a joyful holiday season. We know it’s been a busy year, especially with the late start to funding—and we appreciate all you’ve done to keep things on track. Here’s hoping the holidays bring you time to relax and celebrate with the people who bring you happiness.

Here are few important updates and reminders regarding modules in the Adult Education Online Application and Reporting Site (reporting site) to share with you:

• Grant Award Notification: Electronic Signatures and Upload Reminders
• Budget and First Quarter Expenditure Claim are OPEN
• Reporting Site Modules opening in Early January
• Annual Audit Status Certification - Pending

As a reminder, the Grant Award Notification (GAN) is available for downloading. While Adobe format electronic signatures are permitted, please keep in mind the following:

• Electronic Signatures: Electronic signatures in Adobe Acrobat Certificate format are now accepted. PDF scans of wet (handwritten) signatures remain acceptable.
• Upload Requirements: Upload all pages of your GAN—not just the signature page—under “Upload Grant Award Notification” in the reporting site.
• Authorized Signers: The GAN must be signed by your current Superintendent, College President, Chief Executive Officer, or another Authorized Agent with delegated signature authority.
  • If the signer is not the named grantee or is a new Superintendent/President/etc., make sure to include their title and upload supporting documentation (e.g., board resolution) under “Upload Supporting Documentation.”

The Budget is open. Agencies must have an accepted GAN to access their Grant Budget and enter information.

The First Quarter Expenditure Claim Report (ECR) opened on Friday, December 12, 2025. Agencies must have approved Budget to access their First Quarter ECR and enter information.

By Monday, January 5, 2026, agencies will gain access to:

• Continuous Improvement Plan (CIP) including the resources and CIP portal
• Second Quarter ECR
• 2026–27 Program Year Inquiry (available in Surveys)

Updates are still pending for the Annual Audit Status Certification module. We apologize for the delay and thank those agencies who are patiently waiting to submit.
